What a PMS actually costs: the six lines to compare

A monthly fee is easy to compare. The other costs are harder to spot and often come out later. Ask every vendor for a written answer on each of these lines.

1. Monthly subscription. Check what sets the price: per property, per room, or by tier. Ask what is included and what costs extra, such as reporting, revenue tools or AI features.

2. Per-seat or per-user fees. Some pricing grows with the number of staff logins. For a 20 to 60 room hotel with a front desk, housekeeping, a manager and an accountant, that can add up quietly. Ask whether adding a seasonal hire changes your bill.

3. Booking engine commission. If the PMS comes with a website booking engine, ask whether the vendor takes a percentage of each direct booking. A percentage fee grows with your revenue, so in a strong year it can cost more than the subscription.

4. Channel manager and OTA fees. Connecting to online travel agencies usually involves a channel manager, and that can carry its own fee. Ask whether the PMS vendor adds a markup on top of what the channel manager or OTA charges.

5. Migration and setup. Moving reservations, guest profiles, rates and room types out of your current system takes work. Ask whether setup is a one-off fee, who does the data move, and whether you can run both systems for a while before switching.

6. Support. Find out who answers when something breaks at 11pm, whether support costs extra, and whether you reach a person or a chatbot.

Also check the contract term. A low monthly price on a multi-year contract can cost you more than a slightly higher price you can cancel.

Is $199 the price for every hotel? $199 per month per property is the starting price. Your quote depends on your property, so tell us your room count and channels and we will confirm the figure before you commit.

Do I pay more as I add staff? No. The core plan includes unlimited staff seats, and seats are never the pricing meter.

Does Telivity take a cut of my direct bookings? No. Bookings made through your HAIP booking engine carry no commission.

What about OTA and channel-manager costs? You still pay those, because they come from the channel manager and the OTAs. Telivity passes them through at cost and adds no markup.

What does switching cost? Migration from your current PMS is free, and you get an overlap month to run both systems side by side.
